Replacement Email Server - Purchase Approval

History

The MIS Division has included $8,000 in the FY 2007-08 budget to replace the village’s email server. The existing system was purchased in 2003 and has reached the end of its usefulness.  The processor is obsolete and hardware support is no longer available.

The proposed new server is an IBM x3850 with 438GB of storage. Staff is also recommending the purchase of an extended maintenance agreement that provides on-site repair with four hour response time.

                     IBM x3850 M2 Server                     $10,256

                     Extended warranty                                          $1,443

                     Total                                                                                    $11,699

The Village is eligible for government pricing from the IBM Corporation under GSA Schedule GS-35F-0216L which is the lowest possible price.  Mainline Information Systems is a premier IBM business partner and reseller that serves the local government market in the state of Illinois.

The Finance Committee voted unanimously to approve this purchase at their July 28, 2008 meeting.

Financial Impact

This expenditure is $3,699 over the original budget estimate but there are sufficient funds in the computer operating budget for the purchase.

Recommended Action/Motion

I move to approve the purchase of the IBM server and extended warranty from Mainline Information Systems in an amount not to exceed $11,699.
