Color Copier Purchase - Purchase Approval
History
The Recreation Department purchased a low volume color copy machine for the Franklin Loebe Center approximately a year ago. This allowed staff to produce better quality materials to be distributed to the public. However, due to the volume of materials produced through the department, staff requested to go out to bid for a larger machine. The copy machine that is currently being used at the Franklin Loebe Center will be transported to the Sportsplex to use for copying and developing quality promotional materials out of that facility.
On November 5, 2007, sealed bids were received from nine vendors. In order to allow a fair cost comparison, a request to include estimated maintenance costs with the bid specs was solicited. The maintence costs is based on usage, so a fixed amount is not available. After reviewing the bids and determining the three lowest overall bids, staff tested the machines and concluded the lowest qualifying bid was the Sharp MX-5500N from Synergistic Office Solutions.
Staff is requesting approval to accept the bid for the Sharp MX-5500N from Synergistic Office Solutions.
The Recreation Committee voted unanimously to recommend approval.
Financial Impact
The cost and maintenance for this item is in the budget. Purchasing cost will come out of Machinery & Equipment line item (283-4001-451-7030) and Maintenance (283-4001-451-4360).
Recommended Action/Motion
I move to approve accepting the bid for the purchase of the Sharp MX-5500N copy machine from Synergistic Office Solutions not to exceed the budgeted amounts.
