Title

PC Lifecycle schedule change.

Summary
After careful consideration and evaluation of our current desktop computer replacement cycle, we are proposing the computer life cycle replacement be changed from four years to five years. This change is based on a number of factors that will help us reduce costs while still maintaining efficient and effective operations.
Reasons for Change:
1. Cost Savings
Extending the life cycle of our computers from four years to five years will result in significant cost savings. By holding onto the hardware for an additional year, we can avoid purchasing new systems annually, which will reduce Village expenditures and more fully utilize the assets at no additional cost.
2. Web-Based Applications
The increasing reliance on cloud-based and web-based applications has reduced the demand for high-powered hardware. Most of our day-to-day operations now run via the internet, where data processing is handled on the server-side rather than on local machines. As a result, computers no longer need to be as powerful as they once were, which makes extending their life cycle feasible without compromising performance.
3. Longevity of Hardware
Advances in computer manufacturing have led to more durable hardware. Modern computers are designed to last longer, with many systems performing reliably even beyond the four-year mark. This increased durability aligns with our ability to extend the replacement cycle while still maintaining functionality.
Considerations and Challenges:
1. Warranty Expiration
One of the primary concerns with extending the replacement cycle is that the warranty for each computer typically expires after four years. After this period, any hardware failures would not be covered under warranty. Instead of replacing all of the computers at four years, the proposal includes purchasing a number of additional spare computers to replace any failed computers outside of the warranty. We believe the trade-off in cost savings outweigh...
