Large Format Printer - Replacement - Purchase Approval
History
The Development Services Department has a HP Design Jet that is need of immediate replacement. The Design Jet is an all-in-one scanner, copier and printer for large-format (up to 42” wide) document printing. This device was purchased in 2003 and is used to scan, copy and print large format output such as GIS maps, AutoCAD drawings and plans.
The scanner component has failed and cannot be repaired. We have had three different companies attempt to service the scanner without any success. The manufacturer Hewlett Packard stated that the device is obsolete and would require several thousand dollars to repair, but parts for this model are no longer available.
Staff is recommending immediate replacement of the device since it is needed and used by the Development Services Department on a daily basis.
Illinois state and local government organizations are eligible to purchase Hewlett Packard products at low Federal Government pricing under GSA Contract Number GS-35F-0195J. A quote was obtained from CDW-G for replacement of the Design Jet including installation in the amount of $19,881.

A budget adjustment in the amount of $19,881 would be needed for the purchase.
Recommended Action/Motion
I move to approve the purchase of the HP Design Jet large format printer from CDW-G in an amount not to exceed $19,881,

I move to approve a budget adjustment in the amount of $19,881.
