Office 365 SAAS Data Backup
History
ThinkGard has been providing backup, ransomware protection and data recovery services for the Village for on premise computer systems for the past four years. In 2024 the Village deployed Microsoft Office 365 cloud-based services which includes email, SharePoint, Teams and OneDrive and signed a contract with ThinkGard to backup the M365 cloud data. The original contract with ThinkGard was an annual contract purchased through the Omni Cooperative purchase agreement. Staff is requesting a two-year contract to provide stability in costs for multiple years through the TIPS Cooperative purchasing agreement. By moving to TIPS the total cost of the contract was reduced by $3,424.32.
Financial Impact
ThinkGard Office 365 SAAS backup and recovery services is included in the FY 2025 Department of Information Technology Budget.
Recommended Action/Motion
I move to approve the waiver of the competitive bid process in lieu of participation in the Interlocal Purchasing System (TIPS) Purchasing Cooperative contract for Consulting and Other Related Services #200601 with software and services provided by ThinkGard for Office 365 data backup for two years, beginning April 15, 2025-2027 at a cost of $20,736 per year for a total not-to-exceed contract price of $41,472;
AND
To authorize the Village Manager to execute all related contracts, subject to Village Attorney review.
