Police Department Priority HVAC Projects
History
Public Works staff recently identified (2) high priority HVAC projects at the Police Department that need to be addressed as soon as possible, namely the installation of an A/C system in the server room and repairs to the chiller. Midwest Mechanical, the Village’s HVAC preventative maintenance contractor, provided proposals based on Omnia Co-Op Contract 02-91 to address both issues. Police Department Split System Installation
Midwest Mechanical: $23,864.00 (co-op proposal)
Police Department Chiller Repair
Midwest Mechanical: $18,854.00 (co-op proposal)
Despite the fact that both of these projects are not interdependent of each other and will be complete and usable without the repair work occurring of the other, staff is providing for board approval to ensure that there is no appearance of breaking apart of HVAC work to below board approval.
Staff recommends approving these two (2) proposals from Midwest Mechanical Inc. for a total of $42,718.00. A 10% contingency of $4,271.80 is requested to address change orders made necessary by circumstances not reasonably foreseeable at the time the proposal was signed, for a total contract price not to exceed $46,989.80.
Financial Impact
Funding in the amount of $50,000.00 was included in GL account 1008010-443100 for HVAC Repairs and Maintenance.
Recommended Action/Motion
I move to approve the use of Omnia Co-Op Contract 02-91;
AND
Approve the proposals titled “Police Station Chiller Repair” and “Police Station Mini Split Installation for Server Room” from Midwest Mechanical Inc. for an amount not to exceed $46,989.80 ($42,718.00 plus a 10% contingency of $4,271.80);
AND
Authorize the Village Manager to execute all related contracts, subject to Village Attorney review;
AND
Authorize the Village Manager to approve change orders not to exceed the contingency amount.
