Public Works Automatic Vehicle Locator System - Contract Change Order
History
In 2021, the Public Works V&E Division received Board approval for the purchase of fifty-six (56) vehicle gateway licenses and fifty-two (52) dual-facing camera licenses from Samsara, Inc, at a total of $123,879.00. In 2022, Board approved Addendum A to the contract to add an additional forty (40) gateways and cameras, at a total of $76,462.00. The total contract amount for ninety-six (96) vehicle gateway licenses and ninety-two (92) dual-facing camera licenses was then $198,341.00.
Samsara was selected due to superior performance. The system has improved safety, equipment monitoring, and maintenance operations. The dash-cam feature has been utilized by management staff to identify distracted operators and unsafe driving practices. Event recordings give management the opportunity to effectively coach employees on the incidents, encouraging a culture of safety, betterment, and progression.
The Village executed five (5) contracts in 2021 for snow and ice removal services. Contractor support is responsible for maintaining the parking lots, sidewalks, bike paths, and cul-de-sacs. Ten (10) Samsara gateways are used to track contractor progress through an event and track the duration of the work performed for accurate invoice processing.
An additional four (4) dual-facing camera licenses are required to provide all ninety-six (96) gateways with cameras.
Financial Impact
Funding for the remainder of this contract is available in the Online Services accounts 5008100-442850 and 1008040-442850 for this project for the remainder of 2024.
Recommended Action/Motion
I move to approve Change Order #1 for the addition of ten (10) vehicle gateway licenses and four (4) dual-facing camera licenses for an additional cost not to exceed $16,194.90; replacing the previous not-to-exceed amount of $198,341.00 with a new total not to exceed amount of $214,535.90;
