Email is one of the most common ways Village employees interact with the public, vendors and other outside groups. The Village wants a constant look and feel whenever an email is sent from a Village employee. To provide this consistent communication, email signatures should all have the same design and information provided in them. End users have limited understanding of the configuration of email signatures so either end user signatures are not constant and do not have the desired information or IT has to assist users with creating the signatures. In addition, currently signatures have to be created on each device that an email is sent from. So if you have an iPad, iPhone, PC and use the web email, signatures have to managed and maintained on each system separately.
The DoIT team is proposing moving forward with a signature software system that will standardize the email signature for every email user in the Village. The vendor the DoIT team is looking at utilizing to provide this software is called Letssignit.com. The vendor is a Microsoft Gold Partner and has Office 354 seamless integration. The cost for the software is $10,000 per year.
